A document in Invantive Estate is a file or a link that belongs to another subject. Documents can be stored in the database, or they can be addresses that refer to information outside the product. The following picture shows the list of documents of the demonstration database: ![[20261025-estate-documents-list.png]] ## What a Document Is Linked To A document is linked to a parent: a project, an order, a revenue, an invoice, a budget, a process, an organisation, a person, a unit or a background process. The identifier of the parent, for example a project code, is filled in when the list of documents is opened from the screen of the parent. Each subject with documents shows the number of documents and offers a link to them. ## Data of a Document A document holds: - the file name and the original file name, the MIME type and the size; - the content, or the address of the content; - a document type and a document status. Examples of statuses are "Concept", "Definitive" and "Outdated"; - the version, a unique identification such as a scan code, and the physical location of the original; - the number of pages, characters, words and keywords; - the author, the dates of receipt and dispatch, and the date until which it has to be kept; - the email addresses of the sender and the recipients, for documents that are emails; - a comment and classifications; - indicators "Printable", "OCR Applied" and "Publish". ## Searching A search can use the contents of the documents. The text may be an expression of Oracle Text, for example `area or surface` or `area and surface`. The result lists the unique document number, which opens the document for editing, the original file name, which opens the file, and the feature, which opens the parent. ## Who Sees a Document A user sees only documents that belong to data the user may see. A user who has access to project XYZ sees all documents of that project and none of project ABC. Documents also depend on the function rights for the kinds of parent, such as the function "Access to documents with Project". Documents of background processes are always visible to the user who requested the process. The indicator "Publish" decides whether a document is shown to users whose role does not allow seeing all documents.
