An invoice is a sequence of invoice lines. An invoice line reflects a realised revenue or a cost driver within a project. Several lines of one invoice can refer to different projects. The following picture shows the list of invoices of the demonstration database: ![[20261025-estate-invoices-list.png]] In general, invoices and invoice lines are not typed in. The financial administration loads them from the ERP system, or they are generated from hours and processes as draft invoice lines. Besides invoices from the payables and receivables administration, journal entries can be loaded, for example to take a result. ## Invoice An invoice holds: - a code, normally the internal invoice number, and the invoice date; - the organisation: the supplier that sent the invoice, or the customer to whom it was sent. The field is required. For journal entries from the general ledger a generic supplier or customer is chosen; - the payment term in days, which the cash flow projection uses; - an expected maturity, an expected end of the maturity and a distribution method; - the date it was booked; - the reference of the supplier, for invoices that use their own numbering; - documents. ## Invoice Line An invoice line holds: - the amount, normally without VAT, the VAT code and the VAT amount. An organisation that is not subject to VAT uses the balance including VAT; - whether it is a debit, a payment, or a credit, a receipt; - the project, the cost type and the contract. A deviating contract can be entered, which then replaces the contract in the reports. See [[Invantive Estate/Concepts/Cost Types|Cost Types]]; - the cost centre; - whether the line is based on an order. In a cost, this tells whether the realisation is based on an order. In a revenue, it tells whether it is based on a contractual agreement. The field "Deviating With/Without Purchase Order" overrides the value that came from the ERP system, and "Ultimately Based on Purchase Order" is the result of both; - whether the line is settled, which means it has been paid or received; - a description and points. ## Draft Invoice Lines A draft invoice line is the input for the receivables module of the financial administration. It can be entered by hand or generated by the process "Invoicing" from hours and process units. A line has a customer, which is required, a project, a cost type, a contract, a period, an amount, a VAT code, the price list, the payment term and the quantity. Lines are put in groups with a sequence number to assign them easily to invoices. Two indicators control the export: "Accepted" shows that the line is approved to be exported and "Exported" shows that it has been. The origin of the line is kept as a reference to a process, a process unit or an hour registration. ## Invoice Lines and the Prognosis Invoices with and without an order enter the prognosis in different ways.
