A process is an activity that must be executed to complete a project. The subject "Processes" registers and changes processes, along with their history. Normally, not all activities are recorded as a process. Usually only the critical activities, or the activities that need separate monitoring, are registered as a process. An example of a process that needs separate monitoring is a process that several people have to perform. The entry fields are: - "General": The group of general fields of the process. - "Code": The unique code for a process, for example a contract. - "Description": A short description of the target or the problem. - "Project": The project to which the process belongs. - "Planned Hours": The total number of planned hours to complete the process. - "Prognosis to Go Hours": The estimate of the remaining hours that are needed to complete the process. - "Hours Determined on": The date on which the forecast of the hours needed to complete the process was made. - "Process Holder": The person who is currently responsible for the follow-up of the process. - "Reported By": The person who reported the process. - "On Behalf of": The organisation on behalf of which the process is created. - "Origin": The origin of the process. - "Supplier Reference": A reference of a supplier to this process, for instance a report number of a service provider for the heating. - "Customer Reference": A reference of the buyer to this process, for instance a reference to a purchase order. - "Category": The category of the process. Processes are grouped by category. Examples of process categories are "documentation", "failure" and "installation". - "Unit": The unit to which the process relates, see [[Invantive Estate/Subjects/Finance/Units|Units]]. - "Fixed Price": A fixed price, if this is relevant for the process. - "Impact": The gravity of the problem if the process is not finished. - "Deadline": The date on which the process must be finished. - "Planned Start of Realization": The date on which the execution of the process is planned to start. - "Status": The status of the process. - "Next Review": The date on which the next review of the process must take place. - "Documents": The linked documents, see Linking Documents. - "Progress (%)": The percentage that shows how far the process is from completion. - "Remarks": A free text field for notes about the process. - "Contract (not visible)": The pattern for the contract code that belongs to process units. During invoicing, placeholders in the pattern are replaced by actual values. The supported placeholders are `:pjt_code_short`, `:today`, `:pjt_code`, `:ust_code`, `:unt_serial number`, `:tak_code`, `:hour_yyyy_delivered`, `:hour_mm_delivered` and `:hour_dd_delivered`. - "Process Notes": The group of fields with the notes of the process. - "Category": The category of the process note. Process notes are grouped by [[Invantive Estate/Subjects/Administration/Process Note Categories|Process Note Categories]]. Examples of note categories are "telephone conversations", "emails" and "steering committee meetings". - "Publishing Text": Indicates whether the process note is shown to users with a role that does not allow them to see all process notes. The administrator can indicate in [[Invantive Estate/Subjects/Administration/Roles|Roles]] whether a user may see all process notes with the indicator "See all Process Notes". - "Text": A free text box for notes. The entry field grows with the size of the entered text. - "Classifications": The group of fields with the classifications of the process. - "Classification": The classification of the process. A classification is a label that can be linked to a project, an organisation, a process, a document or a person. The labels help to find information more efficiently. - "Units Used": The group of fields with the units used for the process. - "Grouping": The group of the process unit. The grouping accumulates the process units in process-related groups, such as the groups that [[Invantive Estate/Subjects/Administration/Payment Schedules|Payment Schedules]] generate. - "Unit": The unit that is used for the realisation of the process, see [[Invantive Estate/Subjects/Finance/Units|Units]]. - "Stock": The payment schedule of the unit. - "#Units": The number of [[Invantive Estate/Subjects/Finance/Units|units]] used to achieve the process. - "Process Unit Status": Reference to a [[Invantive Estate/Subjects/Advanced/Process Unit Status|Process Unit Status]]. - "Unit Sales Price": The price for the used units, for the total number of units on this line. - "#Billable": The number of units that can be invoiced. - "Completed": The delivery date of the units. - "Date Start Rate": The date and the number of units in use. - "VAT Code": Reference to a VAT code as registered in [[Invantive Estate/Subjects/Administration/VAT Codes|VAT codes]]. - "Redemption Price": The purchase price of the [[Invantive Estate/Subjects/Finance/Units|Unit]]. - "Booked": If checked, the [[Invantive Estate/Subjects/Finance/Units|units]] are booked. - "Explanation": An optional explanation. The other fields are: - "Status Filter": The filter on the status of the processes. The filter has three values: "open processes", "closed processes" and "all processes". - "Process Owner Filter": The filter on the process owner. - "Counterparty": A reference from a supplier or customer to this process. - "Status": The code of the status. - "Status Description": The description of the status. - "On Behalf of": The organisation on behalf of which the process is created. - "Name": The name of the process detector. - "Product group": The product group to which the process relates. See [[Invantive Estate/Subjects/Administration/Project Clusters|Product Group]]. - "Product": The product type. - "Unique Identifier (SN)": The unique address, location or serial number of the unit. - "Contains": A text to search for in the contents of all visible processes. The search also covers the process notes and the linked documents of the processes. The text can be an expression in Oracle Text. Often used search queries for the field "Contains" are: - ‘area’: processes containing the word ‘area’. - ‘area or surface’: processes containing the word ‘area’ or the word ‘surface’. - ‘area or surface * 3’: processes containing the word ‘area’ or the word ‘surface’ where the occurrence of the word ‘surface’ counts three times as heavily as the word ‘area’. - ‘area’ and ‘surface’: processes containing both the word ‘area’ and the word ‘surface’. - ‘?area’: processes with both the word ‘area’ and words that look like ‘area’. - ‘area-surface’: processes containing the word ‘area’ but preferably without the word ‘surface’. - ‘area;surface’: processes containing the word ‘area’ near to the word ‘surface’. - ‘area not surface’: processes containing the word ‘area’ but preferably without the word ‘surface’. - ‘$area’: processes containing the word ‘area’ and inflections of it, for example ‘areas’. - ‘% area’: processes containing all terms that begin with ‘area’. - ‘area or ( surface and feet )’: processes containing the word ‘area’ or containing a combination of the words ‘surface’ and ‘feet’.
