The subject "Invoices" registers invoices. An invoice is a sequence of invoice lines. An invoice line reflects the realised revenue or the cost driver within a project. Several invoice lines in one invoice can refer to different projects. In general, invoices and invoice lines are not entered manually. The financial administration uploads them automatically. Besides the invoices from the accounts payable and accounts receivable administration, journal entries can be processed, for example for profit taking. The entry fields have the following meaning: - "Invoice": Section with the details of the invoice. - "Code": The code of the invoice. In general, this is the internally assigned invoice number. - "Invoice Date": The date as registered on the invoice. - "Organization": The organisation (supplier) that sent the invoice, or the customer to whom the bill was sent. This field is obligatory. For journal entries from the general ledger, choose a generic supplier or buyer. The list of suppliers is restricted to suppliers with a code that the filter allows on a project. A pattern per project controls from which suppliers invoices may be registered. - "Payment Term (days)": The payment period of the invoice in days. The calculation of the cash flow uses this information. - "Expected Maturity": The date on which the cash flow is expected to begin. - "Expected Maturity End": The date on which the cash flow is expected to end. The maturity date is only relevant if the cash flow projection method needs it. - "Booked": The date on which the invoice is recorded. - "Description": An explanation of the invoice. - "Supplier Reference": The unique identifier of the invoice at the sender. This field can hold the invoice number of the supplier when the code of the invoice follows its own invoice numbering. - "Documents": The documents linked to the invoice. - "Invoice Lines": Section with the invoice lines of the invoice. - "Invoice": An invoice can be sent by a supplier, sent to a customer or created by the ledger system. An invoice can contain several [[Invantive Estate/Subjects/Finance/Invoice Lines|Invoice Lines]]. - "Line": The [[Invantive Estate/Subjects/Finance/Invoice Lines|invoice line]] concerned. - "Amount": The amount invoiced. This is normally the amount without VAT. If the organisation is not subject to VAT, use the balance amount (including VAT). - "VAT Code": The VAT code that applies to the invoice. - "VAT Amount": The VAT amount. - "Credit/debit": Indicates whether the line is a payment (debit) or a receipt (credit). - "Project": The project to which the invoice refers. - "Cost Type": The cost category. All cost categories can be chosen (costs, revenues and results). - "Contract": The contract within the cost category to which the invoice line refers. - "Deviating Contract": The deviating contract, if applicable. A deviating contract overrides the standard contract in the reports. - "Cost center": The cost centre, as defined in the screen [[Invantive Estate/Subjects/Administration/Cost Centres|Cost Centers]]. - "With Purchase Order": For a cost driver, indicates whether the realisation is based on an order. For a revenue, indicates whether the realisation is based on a contractual sales agreement. - "Deviating With/Without Purchase Order": A drop-down list that overrides the field "With Purchase Order" that comes from the ERP system. - "Ultimately based on Purchase Order": The result of "originally based on purchase order" and "deviating with purchase order". - "Settled": When checked, the invoice line is made payable or received (revenue cost category). - "Description": A description of the property, activity or situation to which the invoice relates. - "Points": The number of points awarded for this transaction. - "Documents": The documents linked to the invoice line. - "Expected Maturity": The expected date on which the cash flow starts. - "Expected Maturity End": The expected date on which the cash flow ends. - "Distribution Method": The way in which the cash flow is distributed in time. The other fields have the following meaning: - "Workflow": Section with the workflow details of the invoice. - "Process": The process from which the invoice comes, as registered in [[Invantive Estate/Subjects/Budget Control/Processes|Processes]]. - "Status": The status of the process from which the invoice comes, as registered in [[Invantive Estate/Subjects/Budget Control/Processes|Processes]]. - "Process Holder": The process holder, as registered in [[Invantive Estate/Subjects/Budget Control/Processes|Processes]]. The action buttons have the following meaning: - "Process": Shows the process from which the invoice comes, as registered in [[Invantive Estate/Subjects/Budget Control/Processes|Processes]].
